What is on the day coordination?Having an on the day wedding coordinator allows you to sit back and relax while we step in to ensure everything runs smoothly and bring your vision to life.
Do I need a wedding coordinator? When couples ask me if they need an on the day coordinator, I often ask what is causing them the most stress or concern that lead them to feel they may need a coordinator in the first place.
From there we can see what service may best alleviate these concerns so the couple can enjoy their big day. Sometimes that is our On The Day Coordinator service and sometimes we find our Wedding Errands or Basic Set Up services are better suited to their needs.
Some venues, such as gardens and private properties require a coordinator or there is often no one running the day or for vendors to turn to when a problem arises or quick decisions need to be made.
Other venues come built in with a planner/coordinator but brides still feel they need someone to ensure everything goes according to plan.
If you’re not sure what might be right for you, get in touch today and we can talk through what your concerns are and find the right service for your needs.
How it worksWhile every couple has different requirements for how long, and which part of the day, they may require a coordinator for, my overall process follows five steps.
1. Wedding Coordination Booklet
Once you’ve booked, you will receive our Wedding Coordination PDF booklet to fill in. This will go back and forth between us throughout the planning phase and hold all the details of your wedding from the names of your bridal party to your custom floor plan which I will create.
2. Site visit
We will organise a site visit at your venue/s, together we will run through the entire set up and order of events.
3. Custom floor plan & run sheet
Following our site visit, I will put together a custom floor plan of your venue/s which will showcase how you would like your wedding to be set up. I will also provide a runsheet covering the timeline from when I begin coordinating to bump out.
4. Vendor liaising
As your big day approaches, I will liaise with all vendors I am coordinating and ensure they have a copy of the floor plans, runsheet and clear directions to your venue/s. This often gives vendors a chance to reach out with any final queries before the big day and ensures everyone is working from the same documentation.
5. On the day coordination
While you are getting ready and having photos taken, I will be on site before your vendors arrive to ensure everything runs smoothly from start to finish.
